Creating A New Seat Zone

  1. You can create zones when you are setting up your office for the first time, or by editing your office floorplan. From the Offices page, click "Setup" or "Edit" and navigate to the Maps and Seats step.
  2. Click "Organize Seats" 
  3. Select the seats that you would like to group into the zone by clicking the check box next to the seat on the Seats panel at right, or by selecting the seats on the map (you can select multiple seats on the map by holding Shift and clicking on the seat markers).
  4. Click the '+Zone' button at the top of the Seats panel at right. Enter a name for your zone and click 'Create New'. Choose zone names that make sense. This might be for team groupings (i.e. Finance, Engineering, Sales), zone function (i.e. Focus Zone, Interactive Zone), or  office area (i.e. Office 305, North Cubicles)
  5. Once you've created your seating zone, you'll be able to edit access to those desks by following the instructions below.  

Editing Seating Zone Permissions

  1. Zones are set by default to allow access to All Employees, or to those employees assigned to seats in that zone. 
  2. To restrict zone access to a particular team, department or to certain individuals click 'Edit' next to the zone name in the Seats panel at right.
  3. In the 'Name' field start typing the name of the group or individual that you would like to grant access to the flexible seats in that zone. Access can be granted to teams, departments, or individuals. Once you have granted access, click 'Done'.

Editing Zone Names 

  1. To edit the name of a zone, double click on the zone name in the Seats panel at right. This will put the zone name into edit mode. 
  2. Update the name. 
  3. Click the check mark or enter when done. 
Note: Updating the name of a zone will update it's name everywhere in the product (for example, on your office floorplan). Renaming a zone does not update the permissions for that zone. So naming a zone "Marketing" instead of "Engineering" will not change which team has access. Follow the steps above for Editing Zone Permissions to update access.

Deleting Zones

  1. To delete a zone, select the zone by clicking the check mark next to the zone name on the Seats panel at right. 
  2. Click the 'Delete' button at the top of the Seats panel. 
  3. A popup will open. You can choose to delete just the zone, or the zone and all the seats within that zone. After you have made your selection, click 'Delete'. 

Moving Seats Between Zones

  1. To move a seat from one zone to another, select the seat(s) that you would like to move by clicking the check box next to the seat on the Seats panel at right, or by selecting the seats on the map (you can select multiple seats on the map by holding Shift and clicking on the seat markers). 
  2. Click the '+Zone' button at the top of the Seats panel at right. Enter a name of the zone that you would like to move the seat to, then click 'Apply'
NOTE: The access for the seat will automatically update to match the access for the new zone. 

Limiting Capacity in Zones

  1. To limit zone capacity, follow the steps to create the zone. 
  2. Exit the 'Organize Seats' window by clicking 'Done' at the top right corner.
  3. Move to the next step in office set up 'Limited Capacity'.
  4. Toggle the switch on. Select "Limit by Zone". 
  5. Set your % capacity for each zone. You capacity is based on the number of seats in that zone. 

Important Notes

  • Only those assigned to a zone will be scheduled to flexible seats in that zone. 
  • If there are assigned seats in the zone, only the employee that is assigned to that seat will be able to schedule on that seat, even if others have access to the zone. 
  • If you do not assign any employees to a zone, any employee can sit there. Employees who are not assigned to a zone can sit in flexible seats within an open zone, and employees assigned to a zone can change their desk to any flexible desk within an open zone.
